Air conditioning solutions for meeting and conference rooms

Modern air conditioning for meeting rooms

Recent events have made us all more mindful about good hygiene and the quality of the air that we breathe, especially in indoor spaces where people regularly gather and are seated closely together.

Whether you have smaller meeting rooms, large conference rooms, or open-plan spaces where teams gather together for periods, it doesn’t take long for temperatures to rise and humidity to build – the perfect breeding ground for bacteria.

Why is air conditioning important?

Air conditioning plays a vital role in not only providing a perfect working climate in meeting rooms and conference rooms but it has multiple benefits for occupants.

  1. Occupant comfort – Air conditioning maintains a comfortable temperature and controls the humidity levels. It prevents the meeting room from becoming stuffy and stops condensation from building up, helping to keep people alert and comfortable.
  2. Increased productivity – A comfortable temperature helps to keep people focused and engaged which is essential during discussions and when decision-making.
  3. Healthier environment – Modern air conditioning can filter dust, allergens, pollutants and remove bacteria, and help to prevent the spread of viruses. It ensures that clean air is evenly distributed for a healthier working environment.
  4. Food safety – Food is frequently served in meeting and conference rooms and if served in warm, humid temperatures it allows bacteria to build up. Air conditioning can help food to stay fresher and safer during a serving period.

Air conditioning lowers energy use in meeting rooms

Meeting rooms are often equipped with multiple devices that generate heat including computers, laptops, hot water machines, and projectors which, without air conditioning, can lead to overheating and higher energy use.

Air conditioning systems are frequently left on when no one is using them but modern air conditioning systems with motion sensors detect movement in a room and will automatically turn on when people enter the room and turn off after a set period with no movement.

When should you install new meeting room air conditioning?

Air conditioning should always be installed in any time of meeting room for all of the above reasons, but there are specific times when old air conditioning should be replaced.

During redecoration or refurbishment

If you are freshening up your meeting room with a lick of paint or new furniture, your old air conditioning units will look noticeably dated. Old wall or ceiling units can ‘yellow’ over time and they are often more noisy than modern air conditioning systems.

New air conditioning units do not necessarily mean an entirely new system. The indoor units can easily be replaced without any changes to the ductwork. And it’s easy to switch from ceiling units to wall or floor units and vice versa.

Harmful refrigerants

Many older air conditioning units – 12 years old or more – can contain old and more harmful refrigerants. Modern systems contain new refrigerants with low CO2 emissions that can help toward achieving your net zero carbon strategy.

Changing the size of your meeting room

Changing the layout of meeting rooms, or repositioning or adding or removing internal walls can have a big effect on the performance of your air conditioning system and increase energy use.

Before air conditioning systems are installed, the type and capacity of the system are designed for a specific room size and use.  If you change the layout of the room, the air conditioning systems will no longer work efficiently or effectively.

Before making any changes to your meeting room, or any internal spaces, always speak with your air conditioning installer first, or contact AB-Zero who will happily come and check whether the air conditioning systems or units will need to be changed.

In summary, meeting rooms are spaces where people should be able to gather together comfortably and safely at any time of the day so it’s essential that the air conditioning in your meeting room is fit for purpose, low in cost to run, and safe to use.
